Privacy Policy

This policy explains how BI Job Search collects, uses, stores and shares personal information across the website and application.

This Privacy Policy applies to the BI Job Search website at bijobsearch.com, the application at app.bijobsearch.com, and related services, communications and support interactions (together, the “Service”).

The data controller is Vitamin Business Intelligence SASU, a French simplified joint-stock company with share capital of €5,000, registered under SIREN number 828 109 983, with its registered address at 17 Quai Victor Hugo, 11100 Narbonne, France (“BI Job Search”, “we”, “us” or “our”).

1. Information we collect

Account and contact information

When you create an account, contact us or request support, we may collect information such as your name, email address, login details, enquiry type, message content and the history of our communications with you.

Profile and career information

When you complete your BI Job Search profile, we may collect information you choose to provide about your professional skills, tools, experience, seniority, job preferences, preferred locations and other career-related criteria.

You should not include highly sensitive personal information, identification documents, financial account details, health information or other information that is not needed to use the Service.

Activity within the Service

We may record information about how you use the Service, including jobs viewed or saved, searches, filters, alert preferences, profile changes, job matches, application-link clicks, feature usage and the dates and times of relevant activity.

Payment and transaction information

When you purchase paid access, our payment provider processes your payment details. We may receive and retain transaction information such as the payment status, amount, currency, purchase date, access period, customer reference, invoice information, refunds, disputes and the last four digits or type of payment method. We do not receive or store your full payment-card number.

Technical and security information

We and our service providers may process IP addresses, browser and device information, operating system, language, timestamps, request logs, authentication events, error records, security signals and similar technical information required to deliver, protect and troubleshoot the Service.

Analytics information

With your consent, Google Analytics 4 may collect information such as pages and screens viewed, approximate location, device and browser details, referral source and interactions with the Service. Further information appears in the Cookies and analytics section below.

2. How we use personal information

We use personal information to:

  • create, authenticate and manage user accounts;
  • provide free and paid features;
  • build and maintain skills profiles;
  • calculate job-match information and personalise search results;
  • save jobs, searches, filters and preferences;
  • send requested job alerts and essential service communications;
  • process purchases, activate access, issue refunds and maintain transaction records;
  • respond to enquiries, complaints and support requests;
  • monitor performance, diagnose errors and improve the Service;
  • prevent abuse, fraud, account sharing and security incidents;
  • enforce our Terms of Use and protect our legal rights;
  • comply with accounting, tax, legal and regulatory obligations; and
  • send marketing communications where you have subscribed or where otherwise permitted by law.

3. Legal bases for processing

Where the GDPR, UK GDPR or a similar legal framework applies, we rely on one or more of the following legal bases:

  • Contract: processing needed to create and manage your account, provide the Service, deliver paid access and respond to requests connected with the Service.
  • Legitimate interests: operating and improving the Service, preventing fraud and abuse, securing accounts, understanding product performance, enforcing our terms and communicating about the Service, provided those interests are not overridden by your rights.
  • Consent: Google Analytics and certain marketing communications. You may withdraw consent at any time.
  • Legal obligation: retaining transaction, accounting and tax records, responding to lawful requests and complying with applicable law.

4. Job matching and automated analysis

BI Job Search uses automated rules, classification systems and, where applicable, artificial-intelligence tools to identify skills in job listings, organise vacancies and compare job requirements with information in your profile.

Match scores and recommendations are intended to help you explore opportunities. They do not determine whether an employer sees your application, offers an interview or makes an employment decision. We do not use these features to make decisions that produce legal or similarly significant effects about you.

You may choose not to complete a skills profile, although some matching features will then be unavailable or less useful.

5. Job alerts and communications

If you enable job alerts, we use your email address, search criteria, profile information and alert preferences to identify and send potentially relevant listings. You can change or disable alerts through the Service where available or by contacting us.

We may also send essential messages about account security, purchases, access, significant service changes or legal matters. These messages are not marketing communications and may continue while your account remains active.

Marketing emails are handled separately. You may unsubscribe using the link included in the message or by contacting us.

6. Cookies and analytics

We use essential cookies and similar technologies to operate the website and application, maintain security, authenticate users, preserve sessions and remember preferences. These technologies are required for the Service to function and do not depend on analytics consent.

We use a first-party cookie named bi_analytics_consent to remember whether you accepted or rejected analytics. It is scoped to bijobsearch.com so the same choice applies across the website and application, and it is retained for up to 180 days.

Google Analytics 4 is disabled by default and loads only after you select “Accept analytics.” If accepted, Google Analytics may set cookies including _ga and a property-specific _ga_* cookie. Analytics may process pages viewed, approximate location, device and browser details, referral source and interactions with the Service.

Advertising storage, ad personalisation and ad-user-data consent remain disabled. The Google Analytics measurement ID used by BI Job Search is G-VMDF171NN4.

You may change or withdraw your choice at any time through the control. Withdrawing consent prevents future analytics collection and removes Google Analytics cookies that BI Job Search can access from your browser.

7. When we share information

We do not sell personal information. We may share information with service providers that process it on our behalf or provide infrastructure needed to operate the Service, including:

  • Supabase, for database, account-authentication and application infrastructure;
  • Netlify, for website hosting, delivery, security and form handling;
  • Stripe, for payment processing, fraud prevention and transaction management;
  • Google Analytics, only after analytics consent, for audience and product-usage measurement;
  • email-delivery providers used to send account messages and job alerts; and
  • MailerLite, where you separately subscribe to BI Job Search or Learn BI marketing communications.

Providers may process information only for the purposes for which they are engaged, subject to their agreements with us and applicable law.

We may also disclose information where reasonably necessary to comply with law, respond to a binding request, investigate fraud or security incidents, enforce our agreements, protect users or defend legal claims.

If the Service or business is reorganised, financed, sold or transferred, personal information may be disclosed to professional advisers and relevant parties, subject to appropriate confidentiality and legal safeguards.

8. International data transfers

BI Job Search is operated from France, while some users and service providers are located in other countries, including the United States, United Kingdom and Canada. Personal information may therefore be processed outside your country of residence.

Where required, we use appropriate safeguards for international transfers, such as adequacy decisions, approved contractual clauses or other lawful transfer mechanisms. Different countries may provide different levels of data protection.

9. Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including:

  • Account, profile, saved-job and preference data: while your account is open and normally for up to 30 days after an authenticated deletion request, subject to backup and legal-retention requirements.
  • System backups: deleted information may remain in protected backups for up to 90 days before being overwritten.
  • Support and contact messages: normally up to three years after the last meaningful exchange, unless a longer period is needed for a dispute or legal obligation.
  • Transaction, invoice, accounting and tax records: up to ten years where required by French law.
  • Security and technical logs: normally up to twelve months, unless needed for an active investigation or legal claim.
  • Google Analytics event data: up to fourteen months, according to our analytics configuration; aggregated reports may remain available without directly identifying an individual user.
  • Marketing information: until you unsubscribe or withdraw consent, after which limited suppression information may be retained to respect your choice.

We may retain limited information for longer where necessary to comply with law, establish or defend claims, prevent fraud or demonstrate that a privacy request was completed.

10. Security

We use reasonable technical and organisational measures intended to protect personal information against unauthorised access, alteration, disclosure, loss or destruction. These measures may include access controls, authentication, encrypted connections, managed infrastructure, logging and restricted administrative access.

No online service can guarantee absolute security. You are responsible for choosing a secure password, protecting your login details and notifying us promptly if you suspect unauthorised access.

11. Your privacy rights

Depending on where you live and the law that applies, you may have rights to:

  • request access to personal information we hold about you;
  • correct inaccurate or incomplete information;
  • request deletion of information;
  • restrict or object to certain processing;
  • receive certain information in a portable format;
  • withdraw consent at any time;
  • appeal or complain about how a privacy request was handled; and
  • complain to an appropriate privacy or data-protection authority.

To exercise a right, contact adam@vitaminbi.com. We may need to verify your identity. We will respond within the period required by applicable law.

Users in the European Economic Area may complain to the French data-protection authority, the CNIL. Users in the United Kingdom may contact the Information Commissioner’s Office. Users in Canada may contact the Office of the Privacy Commissioner of Canada or the relevant provincial authority. Residents of certain United States jurisdictions may have additional rights under applicable state law.

12. Account deletion

You may request deletion of your account by emailing adam@vitaminbi.com. We may ask you to verify ownership of the account before processing the request.

Account deletion removes or de-identifies account and profile information from active systems, subject to the retention periods and legal exceptions described above.

13. Children and younger users

BI Job Search is a professional job-search service and is not directed specifically at children. A person who is below the age at which they may independently enter into a contract or consent to the processing of personal information in their country should use the Service only with permission from a parent or legal guardian.

Children under 13 should not create an account independently or provide personal information through the Service. A parent or guardian who believes that a child has provided information without appropriate permission should contact us so that we can review and, where appropriate, delete it.

14. Third-party websites and job applications

BI Job Search links to employer, recruiter and job-board websites. When you follow an external link or submit an application, the third party determines how it collects and uses your information. This Privacy Policy does not govern those external services. Review the relevant employer or provider’s privacy information before submitting an application.

15. Changes to this policy

We may update this Privacy Policy when the Service, legal requirements or data practices change. The updated date will appear at the top of the page. Where a change is material, we will provide reasonable notice through the Service or by email.
